How to Eat an Elephant: A Guide to upgrading your business software

So, you're thinking about upgrading your business software, but the entire process is such a daunting task that you don't know where to start! On top of that, you're so busy with everyday duties that you're tempted to set it aside completely. But conducting a review of your business software is necessary. Why? Not only does it record all company happenings, but it's also responsible for providing your staff with (hopefully) accurate information to make timely and informed decisions. The kind of software you choose will ultimately affect efficiency in your business. So how do you begin to make this assessment? 
The key is to not to view the task as a whole. There is no need to think of software vendors yet! Much like eating an elephant, a business software upgrade is surprisingly doable when broken down into bite sized chunks.
- Assess what you've got. Ask yourself these 3 questions:
- What doesn't my business software do that I wish it could?
- What would I like it to do if there were no budget, time or technology constraints?
- What can my current software do that I don't believe could be done in a new system?
- Decide to decide. There's no point in going over your problems if you're not actually going to do anything about them. You need to take action. A good way to start is by organising a meeting with the right people. For example, if you are reviewing accounting software, involve your accountants. Ask for their opinion and make sure they're involved in the decision-making process.
- Research 5 vendors. Begin your search online. Look to your peers and competitors. What are they using? How does it differ to the software you use? Once you find five potential vendors that catch your eye, list them and dedicate a day each to thoroughly researching what they have to offer.
- Shortlist 3 vendors and make contact. Use your 3 Questions & Answers from Step 1 to give your vendors something to work with. Give them time to get organised and give you their pitch.
- Meet with vendors for a demonstration. Now it's important that get the vendor to show you how they can solve your problems (from the 3 questions) through a software demonstration, either face to face or over the web (through a webinar for example) After you have met with all 3, narrow down your choice and discuss the important stuff, like pricing, implementation, and training.
